Duties and responsibilities

v  Efficiently receiving and consolidating records from branches and depots to the central records center ensuring streamed data management, enhanced accuracy and quick access for decision making.

v  Processing records by indexing, classifying and filing based on their content in line with company policies and procedures ensuring easy access and security.

v  Scanning, indexing and uploading documents to records management system.

v  Overseeing safety, security and confidentiality of physical and electronic records to protect records from unauthorized access, loss and theft.

v  Ensuring all digital records are properly backed up and stored in a secure manner.

v  Maintaining data integrity through supervision of data entry and verification activities.

v  Managing timely retrieval of records to staff, auditors and regulatory authorities ensuring quick access to important information, supporting efficient decision-making and smooth operational workflows.

v  Updating the records management system by compiling and maintaining accurate inventories ensuring that records center reflects the most current collection.

v  Monitoring filing activities across branches, depots, and head office, providing guidance and training on best practices in records handling and retention.

v  Serving as a contact point within specific departments to ensure proper management of records at the departmental level.

v  Barcoding and scanning.

v  Ensuring meticulous tracking of all files movement and ensuring files retrieved are returned within the set time.

v  Implementing and monitoring the company’s records retention schedule, facilitating appropriate disposition and archiving of outdated files.

v  Ensuring the proper maintenance and proper use of equipment, including printers and scanners to support smooth and uninterrupted operations.

v  Conducting regular audits of records management to ensure that the organizations’ records management practice align with legal and regulatory requirements.

v  Supervising regular cleaning and maintenance of the record center to ensure a safe and secure environment for the proper storage and preservation of company records.

v  Preparing weekly and monthly performance reports and records management statistics for senior management.

v  Any other duty that may be assigned by any authorized officer.
