(a) Overall Responsibilities • Update and maintain office policies and procedures • Handle petty cash and ensure that the office activities run smoothly • Order office supplies and research new deals and suppliers • Submit and reconcile receipts and expense reports • Provide general office support to visitors/members • Act as the point of contact between members and management. • Keep all records properly in safe custody for easy access • Office communication: - Answer and direct phone calls, WhatsApp, and message (SMS) • Organize and schedule appointments • Plan meetings and take detailed minutes • Write and distribute email, correspondence memos, letters, and forms • Prepare regularly scheduled reports • Develop and maintain a filing system • Maintain contact lists • Liaise with management to handle requests and queries from members • Undertake any other official duty assigned by the management • Ensure that the office is clean and well arranged (b) Society’s SACCO Section Responsibilities • Analyze list of members in arrears on monthly based on the number of missed installments. • Communicate to members in arrears informing them of amount in arrears. Follow up through email, phone call and SMS's. • Working with the members on agreed payment plan, send reminders before the agreed due dates. • Answer queries and offer advice to the members. • Refer cases for restructure to Credit Analyst. • Prepare monthly reports: Collections received, all follow ups done, Commitment dates agreed on. • Assist the Senior Credit Officer in preparing accounts for offset and issue demand thereafter. • Posting receipts in the cash book, prepare excel sheets for accounting purposes, update data in Quick books and Kwara systems. • Bank reconciliation • Initiate payments and transactions on the online platform (online banking portal) • Process and disburse loans. • Initiate claims for various members in case of death and ensure that the claim is made within a specific time. • Doing market research to help identify where best to invest e.g. money markets offering the best interests
