Key Responsibilities / Competencies
Our principal responsibilities / competencies are to provide organizations with

General supervision and coordination of Conferences
Organization of translation and interpretation services
Drafting of minutes of conference plenary meetings and committee / group sessions
Provision of administrative and management support to the conference secretariat
Editing and vetting of translations done by External Translators
Consecutive and simultaneous interpretation
Editing of working papers
Translation of reports, conference documents and other materials relating to operational activities
Ad hoc interpretation during official functions and state visits by dignitaries from other countries
Facilitation of airport procedures
Meeting VIP guests, liaising with government officers, ushering the guests to VIP lounge
Hotel bookings, tours to parks, historic sites, entertainment, receptions and other hospitality arrangements
Welfare of the delegates

PROVISION OF PROTOCOL SERVICES

Meeting and receiving delegates at the point of arrival
Assist delegates to complete Visa application forms and obtain visas where necessary
Assist delegates with immigration and customs clearance
Page delegates
Assist delegates to identify baggage
Transfer delegates to domestic flights bound for other towns e.g. Mombasa, Kisumu, Nanyuki, Masai Mara etc.
Escort delegates to waiting transport for transfer to respective hotels
Assign our staff in hotels to receive delegates alongside hotel staff and assist them with check in procedures
Usher government dignitaries to VIP lounge in liaison with government officials
On return journey, meet and receive delegates upon arrival at the JKIA Airport from local airports and assist them with immigration and customs procedures.

PROVISION OF TRANSPORT SERVICES

To Transport delegates from the Airport to their respective hotels
To Transport delegates from the Hotel to the conference venue
To Transport delegates to various venues for dinners etc
To carry out local errands within the city
Transport delegates from the Hotels to the Airport
We have the capacity to take delegates to visit various interesting spots within the country
Inform delegates of security measures to be taken while sight seeing

Our equipment and facilities are fully maintained through a regime of regular and periodic servicing in order to ensure and guarantee complete reliability. We also carry out necessary evaluation so as to modernize these facilities and bring them up to the state-of-the-art in the industry.

BUSINESS CENTER
We have the capacity and experience to set up a business centre with e-mail, internet, fax, international and local telephone facilities to enable guests and delegates to browse during the conferences. We have altogether more than forty workstations. We have previously set up business centres, the largest being the ICASA conference, which was attended by over ten thousand delegates at KICC.

PRINTING WORKS
We are able to organize the printing of banners, conference bags and souvenirs at very competitive rates.

STATIONERY SUPPLIES
We shall provide all the required stationery and related materials to the specifications given by the conference organisers and in quantities estimated to meet their needs.

MANAGEMENT OF THE CONFERENCE SERVICES

We will assume the title of conference / workshop co-ordinators in which capacity we will be responsible for among other things:

PRE-CONFERENCE ACTIVITIES

Inviting delegates
Confirmation of attendance
Confirmation of flight schedules
Booking of venue and hotels
Receiving of the delegates at the airport
Settlement of delegates in various hotels

CONFERENCE ACTIVITIES

Administrative duties such as overseeing translation and processing of conference materials
Confirmation of return flights
Management of the plenary activities
Make photocopies
Assisting delegates to make calls

POST CONFERENCE ACTIVITIES

Work closely with rapportuers to ensure final documents are completed on time and send to various delegates
Ensure filing with the client, of the final reports
Organize sight seeing for the delegates
Organize for return journeys for the delegates
Where necessary sending “thank you” notes to participants
