Job Description
JOB PURPOSE
Ensuring a seamless flow of customs documentation and procedures by accurately and timely processing customs declarations for all shipments.
Key Responsibilities
- Customs Documentation: Undertake specific customs declarations in the customs systems (such as the ICMS System) and ensure all entries are passed within the set timeframe.
- Permits and Forms: Process correct and timely applications for Import Declaration Forms (IDF), Port Health Permits, and Kenya Bureau of Standards (KEBS) exemptions through relevant trade systems like Kentrade. Generate Other Government Agencies (OGA) consignment documents (CD’s), Unique consignment reference number (UCR’s) for Export Procession zones (EPZ) and UCR from Mother Import declaration form (IDF).
- Compliance: Ensure full compliance with the East African Customs Act and regulations, staying updated on all new customs rules and guiding relevant parties accordingly.
- Classification: Be conversant with all Harmonized System (HS) codes and customs regimes to ensure accurate tariff classification and capturing of client details.
- Coordination & Communication: Constantly follow up on delayed entries and IDF approvals, updating customers and customer service teams on all new regulations accordingly. Also, ensure all preceding entries are active in the customs systems.
- E-filing and Handover: Carry out accurate e-filing of documents and ensure that cargo is handed over to the correct handling agent.
Required Skills and Experiences
- Education: A diploma in clearing and forwarding is required, with training in relevant systems like Orbus and the ICMS System, as well as an East African Customs & Freight Forwarders Practicing Certificate (EACFFPC) and ICMS accreditation.
- Experience: At least 3 years of experience in the logistics industry or freight forwarding operations.
- Technical Skills: Must be computer literate and have detailed knowledge of customs rules, regulations, and procedures.
- Soft Skills:
- Excellent customer service skills.
- Detail-oriented and highly organized.
- Strong problem-solving ability and a team player.
- Ability to work under pressure and a flexible approach to work.
- Fluent written and verbal communication in English and Kiswahili.
