Job Description
Job Purpose
The role ensures the efficient movement of our client’s product by coordinating shipments, maintaining precise documentation, managing cross‑border logistics requirements, and supporting operational teams at multiple depot and customer locations.
Key Responsibilities
Shipping & Documentation
- Prepare, verify, and process all transport documents including delivery notes, export documentation, customs documentation, packing lists, and bills of lading.
- Maintain compliance with East African Community (EAC), COMESA, and other regional trade and transport regulations.
- Ensure all documents are properly filed and accessible for audits and regulatory reviews.
Shipment Coordination
- Track inbound and outbound tanker movements across Kenya, Uganda, Tanzania, Rwanda, and other African markets.
- Coordinate with drivers, transport contractors, plant operations teams, and customer sites to ensure timely dispatch and delivery.
- Monitor cross-border clearance processes and escalate any delays at weighbridges, customs points, or roadblocks.
Data Management & Inventory Support
- Record dispatch quantities, stock balances, and returns in ERP/logistics systems.
- Support stock reconciliation at depots and storage facilities.
- Generate daily, weekly, and monthly logistics performance reports.
Compliance & Quality Assurance
- Work closely with Safety & Quality teams to ensure proper implementation of loading, sealing, and delivery procedures.
- Support internal and external audits by maintaining accurate and up‑to‑date logistics records.
Administrative & Operational Support
- Communicate proactively with internal teams including Production, Sales, Dispatch, Quality, and Finance.
- Assist with route planning, transport cost monitoring, and efficiency improvement initiatives.
- Support logistics leadership with administrative tasks, scheduling, and reporting needs.
- Excellent understanding of transport costs and preferred controls.
- Engage, visit and monitor customers on annual/monthly volume agreements and targets
- Coordinate with truck, driver and product availability with respective parties.
- Maintain close coordination with logistics manager
Education & Experience
- Degree in Logistics, Supply Chain Management, Business Administration, or a related field preferred.
- Experience in logistics, transport coordination, or industrial operations
- Knowledge of cross‑border transport requirements within East and Southern Africa is an added advantage.
- Keen awareness towards On Time In Full Policy
- Proficiency in MS Office applications and experience with ERP or fleet‑tracking systems.
- Valid driving license
- Excellent communication and presentation skills
- Strong analytical and problem-solving abilities
- Customer-focused mindset with relationship-building skills
- Ability to multitask and perform effectively in a fast‑paced, high‑activity logistics environment.
- Ability to travel frequently
